Security
Unlimited Faxing is where you send faxes, store documents, and collect signatures. This page explains what we do to keep your account safe, and what you should do next if something looks wrong.
Your account
- We store your password in a form we cannot read back. We never email you the password itself.
- After you sign up, we email a confirmation link. The address stays unverified until you open that link.
- You can reset a forgotten password from the sign-in page, or change it while you are signed in.
- Too many wrong passwords lock the account for a short time. Wait, then try again or reset the password.
Your team
- Owners and admins can see the team's fax numbers and office fax machines.
- Members and team members see the fax machines and fax numbers assigned to them.
- Owners, admins, and members share the team fax list and templates. A team member has their own list.
- A team member does not see the list of member email addresses.
Support access
- Only an Unlimited Faxing administrator can view the site as another person, and only to help with that account.
- An administrator cannot view another administrator's account this way, and cannot start a second view while one is open.
- Each viewing session records who looked, which account, the network address, and when it started and stopped.
Fax history
We keep sent and received faxes for 365 days. Owners and admins can choose a shorter time, at least 30 days. Automatic deletion can be left off, so nothing is deleted. A legal hold means nothing is ever deleted.
Fax files
The website uses a secure connection. A fax sent to another Unlimited Faxing account stays inside Unlimited Faxing. A fax sent to a regular fax machine is a normal fax. If you think someone else used your account, change your password and email support@unlimitedfaxing.com.
Searchable fax text
We index fax page text in a background job so you can search your own sent and received faxes. The job runs with strict limits on pages, file size, time, and concurrency so it does not overwhelm the server. Search index text is always protected with the data-protection key ring and is never stored in plaintext in the database. Search only returns faxes you are already allowed to open.
