What to Do When Someone Says "Please Sign and Fax This Back"

An email arrives with a PDF and one line: "Please sign and fax this back." Offices dealing with leases, insurance, HR forms, medical intake and vendor setup still ask for this all the time. With Unlimited Faxing you can sign the PDF and fax it back from one account, without a printer or fax machine. Here's a checklist that gets it done right the first time.

Step 1: Check what you've been sent

  • Make sure it's the right form and the latest version. If it looks out of date, ask the sender.
  • Find every signature, initial and date line. Multi-page forms often hide one on page 3.
  • Fill in any required blanks or checkboxes before you sign.

Step 2: Ask whether an e-signature is OK

Most offices accept an electronic signature on a faxed form. Some legal or financial forms need ink. If you're not sure, a one-line reply ("Is an electronic signature acceptable?") saves a resend.

Step 3: Sign the PDF online

In Unlimited Faxing, upload the PDF, open it in the editor, type into the fields and add your signature (draw it with a finger, mouse or trackpad). E-signature is included on every plan. If someone else has to sign too, send them a signing link. They don't need an account.

Step 4: Get the right fax number

Use the number the sender gives you, not one from an old letterhead or a web search. A wrong digit sends your signed, possibly personal, information to someone else.

Step 5: Send the fax

Choose Send a fax, enter the number, attach the signed PDF and send. This works from a phone browser or a computer.

Step 6: Confirm delivery and keep a record

Check the delivery status. If the line was busy, the fax goes to your Outbox for retry, and you can resend it. Keep the delivery record. If the office says it never arrived, you can show when it was delivered.

Tips

  • Keep the signature dark. Fax is black and white, and light ink fades.
  • Send only the pages that were requested.
  • Reply to the sender's email saying you've faxed it. Offices handle a lot of faxes, and a heads-up helps.
